Guests of the University residing in our Summer Hostel are required to observe and abide by the following rules and regulations. Failure to comply with the stipulations of this agreement could result in the immediate termination of accommodations.

 

Check-in & Check-out

 

1) For all guests, ‘check-in’ falls between the hours of 2:00 p.m. and 10:00 p.m. Guests wishing to check in earlier are required to have written approval from the Hostel Coordinator or senior Desk Services Staff.

  • Valid photo identification will be required upon check-in and must be shown at the request of the University’s Residence Desk Staff or its officers.
  • Guests must check in at the East Residence Desk, located at the front entrance of Dundas Hall. This Desk is open 24 hours.
  • Payment will be collected in full at check-in. Foreign currency is not accepted. Accepted methods of payment include:
    • Visa
    • MasterCard
    • Cash
    • Interac

2) $25.00 key deposit is required for all sets of keys issued. This deposit is refundable with the return of all keys issued at check-out. The key deposit is not payable via debit or cheque.

3) There are no hostel refunds. Guests are encouraged to reserve rooms only for the nights they are certain to be staying. Extending a reservation is possible and may be done at any time before 11:00 a.m. on the arranged departure day.

4) All guests are required to check out by 11:00 a.m. on their designated departure day unless an alternate check out time has been prearranged. All requests for a late check out must be submitted with 24 hours’ notice. Failure to vacate by the designated check out time could result in:

  • Extra nightly charges
  • Removal of personal belongings
    • Student Housing Services will not be held responsible for the loss of any contents/personal belongings incurred in the process
  • Involvement of Campus Community Police (C.C.P)

5) If room keys are lost during a guest’s stay, the key deposit collected at check-in will not be returned, as it will go towards the cost of replacing both lock and keys.

 

Hostel Policies

 

1) Guests wishing to cancel their hostel reservation may do so by providing notice of their intent via email: hostel@uoguelph.ca

  • There is no cancellation fee. 24 hours’ notice is sincerely appreciated.

2) Guests that have completed reservations, but do not arrive on their designated arrival date may have their room(s) reassigned or released to other potential clients without notice.

  • If bookings permit, rooms will remain ‘reserved’ for a maximum period of two days, being released on the third day by 12:00 p.m. This will not apply in the event that reserving a room prevents the accommodation of paying guests.

3) For the safety of our guests, the permissible number of occupants in a room is limited to the number of beds therein.

4) Residents will be held responsible for their guest(s).

5) In the case of a double room with a roommate departing early, the remaining guest may be relocated to a single room in order to accommodate other guests.

6) Guests are not permitted to change or trade rooms without the expressed approval of the Hostel Coordinator or a senior Desk Services staff member.

  • Guests are also prohibited from subletting or permitting someone to stay in their room free of charge.
  • Overnight guests (after 10:00 p.m.) are not permitted.

7) Guests are responsible for keeping the above furnishings intact and for reporting any missing or damaged items to the East Desk immediately or prior to departure.

8) Guests are not permitted to move furniture from their rooms or any part of the rented space.

9) Guests herby agree to pay for the repair of any damages to the residence room caused by him/her or his/her guests. In the case of a double room, the ‘primary contact’ will be held liable for their roommate.

10) Properly identified University of Guelph staff or University-contracted maintenance workers may enter a residence room at reasonable hours (with the exception of emergencies) to perform necessary repairs, check smoke detectors, or perform other housekeeping tasks/inspections.

11) In residence rooms, window screens are not to be removed.

12) Guests responsible for the lighting of fires or tampering with fire equipment (including smoke detectors) could be subject to a fine. Tampering with fire equipment is an offense under the Criminal Code.

13) Possession of any firearm, ammunition, air gun/rifle, firework, prohibited or offensive weapon, explosive, illicit narcotics/drugs/drug paraphernalia and/or conduct that could lead to property damage or injury to others, including throwing articles from residence windows, roofs, high floors, etc. will result in an immediate request to vacate residences.

14) The desk Services Manager or their designate(s) reserve the right to require the immediate withdrawal of a resident from our Summer Hostel (without the issuing of rent refunds):

  • whose conduct could lead to the injury of others
  • who engages in threatening or aggressive behaviours towards University staff or residents
  • who appears to have breached the Criminal Code
  • who has violated any law, rule, order or regulation of any federal, provincial or municipal government
  • who fails to understand and comply with the University of Guelph’s code of conduct/policies
  • who fails to observe the rules and regulations of the University’s Summer Hostel.

15) Student Housing Services will not be held liable for any damage to or loss or theft of personal property or personal injury, including death, save where the same is caused by the willful or negligent act or omission of the University or those for whom the University is legally (or under law) responsible. The guest will indemnify the University and save it harmless from any and all liability in respect of an injury, loss, or damage occasioned by any act or omission of the guest, their guest(s), agents, or invitees.

16) If a guest’s actions or behaviours are deemed by Student Housing Services to be detrimental to the general well-being or comfort of other guests, Student Housing Services reserves the right to immediately evict the resident prior to any official warning.

  • Decisions to evict will be final and made at the sole discretion of Student housing Services.

 

Prohibitions

 

1) For the safety of all guests, miscellaneous clutter such as clothing, shoes, and other belongings of that nature are not permitted to stay in the hallways.

2) Open flames are not permitted in residence. This rule does not permit the use of:

  • Candles
  • Sparklers
  • Incense

3) The use of rollerblades, skates, scooters, and skateboards is prohibited in our residence buildings.

  • The playing of missile games is also not permitted in residence. (i.e. frisbee, football, etc.)

4) Smoking is not permitted anywhere on the University of Guelph grounds, which include all residence rooms.

5) Alcohol is prohibited in any public area of the University. In residence, alcohol is prohibited in hallways, common spaces, stairwells, and laundry facilities. Alcohol is not to be transported in opened containers.

  • Acts of public inebriation by any guest staying at our Summer Hostel are punishable by immediate eviction from residence. Guests will be required tovacate their rooms at once, and will forfeit any payments made on their account(s).

6) Cooking is permitted in common rooms only.

  • The use of electrical appliances such as kettles, hot plates, frying pans, woks, microwaves and ovens is not permitted in residence rooms.
  • Stoves are never to be left unattended while in use.

7) Pets are not allowed in residence at any time.

  • Certified service animals being the only exception

 

Guest Responsibilities

 

1) Quiet hours are in place from 10:00 p.m. to 8:00 a.m. every day. Guests are expected to keep noise to a minimum. Please note that the use of powerful speakers or amplification devices is not acceptable. Excessive levels of noise will not be tolerated.

2) The University’s Summer Hostel promotes and upholds a drug-free, smoke-free, and harassment-free environment.

  • Guests accept the responsibility to respect the rights and the privacy of fellow hostel residents.

3) Guests are to ensure that food items are properly labelled and disposed of prior to departure.

  • Periodically, common room fridges will be cleaned out. Student Housing Services is not responsible for lost, stolen or removed items.

4) In the event of an emergency where Student Housing Services is forced to remove the contents/belongings in an occupied room, Student Housing Services will not be held responsible for damaged, lost or stolen items.

5) Guests may exchange their linen for fresh linen at the East Desk. The cleanliness of rooms is the responsibility of guests and their roommates in the case of a double room.

6) Guests hereby agree to Student Housing Service’s assessment of damages or missing items.

7) Guests are responsible for leaving the residence rooms in a clean and undamaged state before departure. Guests hereby agree to Student Housing Service’s assessment for cleaning costs, restorations, or repairs. Guests may be invoiced for any of the above charges.
